Booking & Payment

Deposit

A deposit of US$ 250 per person is required for trek packages up to 7 Days/6 Nights, or US$ 500 per person for tour packages up to 10 Days/9 Nights. This deposit is applied immediately to secure your booking and purchase your government-issued permit.

Balance Payment

Full payment is due 60 days before departure. Bookings made within 60 days of departure require full payment at time of booking.

Payment Methods

We accept credit cards (Visa, MasterCard, American Express), PayPal, and bank transfers. All prices are quoted in US dollars (USD).

Cancellation Policy

Refund Schedule

  • More than 60 days before departure: Full refund minus deposit amount (non-refundable permit and booking fees)
  • 30–60 days before departure: 50% refund of total package price
  • Less than 30 days before departure: No refund

Permit Non-Refundability

Inca Trail permits are non-refundable and non-transferable once purchased from the Peruvian government. This applies regardless of the reason for cancellation, including medical emergencies. This is a government policy; we cannot override it.

How to Cancel

All cancellations must be submitted in writing via email. The cancellation date is the date we receive your written notification.

What's Included

All tour packages include:

  • Hotel accommodations (based on double occupancy)
  • Domestic transportation between cities (flights and/or ground transfer)
  • Guided sightseeing tours in each city
  • Inca Trail permit and Machu Picchu entrance fee
  • Professional bilingual guide for the entire trek
  • Porters to carry shared equipment (tents, cooking gear, food)
  • All meals during the trek (breakfast, lunch, dinner, snacks)
  • Camping equipment (4-season tents, sleeping mats, dining tent)
  • First aid kit, supplemental oxygen, and pulse oximeter
  • Bus from Machu Picchu to Aguas Calientes
  • Train from Aguas Calientes to Ollantaytambo

What's Not Included

  • International flights to/from Peru
  • Travel insurance (required (see below))
  • Tips for guides, porters, and hotel staff
  • Sleeping bag (rental available for ~$25)
  • Personal expenses (snacks, souvenirs, drinks)
  • Optional extras (Huayna Picchu permit, extra hotel nights)
  • Meals not specified in the itinerary
  • Airport transfers unless specified in the package

Travel Insurance

Comprehensive travel insurance is strongly recommended and required for all Inca Trail treks. Your policy should cover:

  • Trip cancellation and interruption
  • Medical expenses and emergency evacuation (including helicopter rescue)
  • High-altitude trekking activities up to 4,500m
  • Baggage loss and personal effects
  • Travel delays and missed connections

We recommend purchasing insurance within 14 days of booking to qualify for pre-existing condition coverage.

Passport Requirements

  • Valid passport required with at least 6 months validity from your entry date to Peru
  • Passport details must exactly match your booking information
  • You must carry your original passport on the Inca Trail (no copies or photos accepted)
  • If you renew your passport after booking, notify us immediately to update your permit

Health & Fitness

The Inca Trail is a challenging high-altitude trek. Participants should:

  • Be in good general physical condition
  • Disclose any medical conditions at time of booking
  • Follow guide instructions at all times regarding pace, rest, and safety
  • Allow adequate time for acclimatization (included in all packages)
  • Consult a doctor before traveling if you have heart, lung, or blood pressure conditions

Our guides reserve the right to prevent a trekker from continuing if their health condition poses a risk. In such cases, alternative arrangements (train to Machu Picchu) will be provided at no additional charge when possible.

Changes & Substitutions

We reserve the right to modify itineraries due to weather conditions, trail status, government regulations, or safety concerns. When changes are necessary:

  • Alternative arrangements of equal or greater value will be provided
  • Hotel substitutions will be of equal or higher category
  • You will be notified of significant changes as soon as possible
  • No refund is provided for changes due to circumstances beyond our control

Force Majeure

We are not liable for failures or delays caused by events beyond our reasonable control, including but not limited to:

  • Natural disasters (earthquakes, floods, landslides)
  • Government actions or closures (trail closures, border closures, new regulations)
  • Political unrest, strikes, or civil disturbance
  • Pandemics, epidemics, or public health emergencies
  • Extreme weather events beyond seasonal norms

In force majeure situations, we will work with you to reschedule your trip or provide credit toward a future booking. Force majeure events do not qualify for refunds under the standard cancellation policy.

Liability

Inca Trail Machu Picchu acts as an organizing agent for transportation, accommodation, and guide services. While we exercise due diligence in selecting service providers, we are not liable for injury, damage, loss, delay, or irregularities caused by third-party providers, weather conditions, or circumstances beyond our control.

By booking with us, you acknowledge the inherent risks of high-altitude trekking and outdoor activities in remote areas.
